The Administrative Specialist assists the Administrative Team (Director, Assistant Director, Upward Bound Coordinator) in the management of two distinct TRIO programs, including two Upward Bound grants and one Educational Talent Search grant. The Administrative Specialist position is fast-paced with job duties that are diverse in nature and vary from day to day, involving frequent interruptions. The position provides administrative support, and accomplishes complex clerical work, including record-keeping with databases and spreadsheets (budget reconciliation) and word processing. May also supervise student work study positions. This is a full time, year-round position contingent upon external grant funding. The work week is Monday-Friday, 8am-4:30pm. Some evening, weekend or holiday hours may be infrequently required.
TRIO College Access Services is federally-funded through three 5-year competitive, renewable grants from the U.S. Department of Education’s TRiO division, a part of the Office of Postsecondary Education, including two Upward Bound (UB) programs and one Educational Talent Search (ETS) program. The TRiO College Access Services is to assist students who are income-eligible and/or would be first-generation college students, or who have some other barrier to higher education, to succeed at each level of school (from grade 6 for ETS and grade 9 for UB,) and to become college graduates.
Required Qualifications: A high school diploma or equivalent (GED) and at least two years of experience in office management, executive secretarial work or related field. Experience with computers including proficiency in MS Office software. Proficient with internet and e-mail. Experience with budget management and reconciliation. Ability and willingness to multi-task with sometimes competing priorities and function with frequent interruptions in a busy office with a heavy office traffic flow. Excellent interpersonal skills and strong writing skills. Understanding of barriers to be overcome by TRIO students in order to successfully attain a college degree.
Preferred Qualifications: Associate’s Degree in secretarial science, business, communications, information technology or related field. At least three years of progressive experience providing administrative support to a federal education program or other comparable enterprise. Experience with students and families who are educationally and/or economically disadvantaged.
